Establish the included amenities
Ask the venue which restrooms form part of your booking and whether they remain open for preparation, the main programme and breakdown. A permanent restroom elsewhere on the property may not be available to your group.
Coral Gables publishes special-event and film guidance with activity-specific conditions. Use the current guidance and your operator’s response; do not treat a general park listing as permission for every kind of occasion.
Get agreement on outside facilities
Discuss the proposed equipment position with the venue before selecting a cabin or trailer. Include guest circulation, accessible approaches, washing and equipment used by catering or other suppliers.
A privately booked facility may have a different process from a public park. Confirm the actual location’s conditions rather than assuming arrangements from a previous event elsewhere carry over.
Align the supplier window with the booking
Give permitted delivery and collection periods, including time for equipment to be received and positioned. The guest arrival time is not a complete supplier timetable.
Identify the organiser who can reconcile the venue’s instructions with the rental proposal. Confirm equipment and service details before building the event programme around them; an enquiry by itself does not reserve a setup.
