Identify where demand gathers
Describe entrances, performance or activity areas and programme breaks. Include vendors and staff who may remain longer than visitors, and explain which permanent restrooms are genuinely available to each group.
Estimate the busiest simultaneous use and distinguish it from total attendance across the day. If the programme changes, review the assumptions used for the equipment recommendation.
Coordinate facilities with circulation
Discuss suitable positions for cabins, accessible equipment and washing together. Leave room for people approaching and waiting without conflicting with other installations or the venue’s access requirements.
Share the event site plan with the responsible property contact. Obtain permission for temporary equipment and consult current Coral Gables event guidance where relevant; rental equipment alone does not establish event approval.
Plan for attention while the event continues
Explain whether suppliers can reach the equipment during public hours and what restrictions apply. A route used during setup may be closed or occupied once the programme begins.
Ask for the maintenance and collection scope to be specified for the intended use. Name the organiser who can respond to practical questions throughout the event rather than only at the initial delivery.
